Position Description and Person Specification

TITLE OF POSITION:                        Administration Officer

CLASSIFICATION:                            Clerks Private Sector Award 2019: Level 2, Year 1

TYPE OF APPOINTMENT:               Casual

 

  1. Summary of the broad purpose of the position in relation to the Church’s goals

This role will encompass working and liaising with the Minister in Placement for the administration of Broadview Uniting Church

The key duties for this role are as follows:

  • General Administration including coordinating and publishing the weekly newsletter
  • Data entry using MYOB, Accounts Payable and Accounts Receivable
  • Hall Hire bookings, administration and building maintenance liaison
  • Assisting with planning and implementing advertising, marketing and community events

 

  1. Reporting and working relationships

 

The Casual Administration Officer’s primary responsibility is to Church Council of Broadview Uniting Church, and the Minister in Placement.

The Administration Officer will also undertake related tasks as required.

 

  1. Statement of key outcomes and associated activities

 

  • General Administration
  • Coordinating and publishing the weekly newsletter both printed and digital
  • Formulating minutes of minutes, agendas, correspondence and rosters as required
  • Filing both hard copies and digital
  • Government requirements, such as QR code applications, coordinate Police checks and
    • Workplace Health and Safety qualifications and training
  • Reporting copyright hymn requirements
  • Other general administrative tasks, eg. managing supplies such as stationery and other
    • consumables

Checking messages and mail and responding as required in a timely manner.

Greeting members of the public and congregation, answering incoming calls and responding to general enquiries

Liaise with the volunteers and support them where required.

  • Finance

Support the Treasurer in managing the finances of the church which includes data entry using MYOB, accounts payable and accounts receivable, and providing reports to the Treasurer when required.

Banking money when required.

  • Hall Hire bookings, administration and building maintenance liaison

Receive and coordinate bookings for use of the Church facilities, completing Hall Hire Agreements, and liaising with hirers.

Liaising with tradespeople and other contractors as directed

Assisting with the maintenance of the office, kitchen and public areas of the facility

  • Advertising, Marketing and Community Events

Liaising with the Minister and others in advertising of current programmes, and planning, implementation and marketing of new initiatives.

Liaising with the Minister and others in keeping the Web page, Facebook and Instagram up to date and current.

  • Other duties as directed by the Minister

Experience

Essential

  • Proven experience in administration and clerical positions

Desirable

  • Understanding and experience in MYOB
  • Experience in a not for profit organisation
  • Be an active member of a Christian denomination
